Remote team farewell guide

How to organize a remote coworker farewell card

Start five to seven working days ahead, give everyone one clear signing deadline, and leave time to review before the handoff. A remote farewell card works asynchronously: coworkers can add a note or photo during their own working day.

A timeline that leaves room for people

  1. 5–7 working days before

Choose one organizer, confirm the last working day, and start the card. Begin earlier for holidays or a large team. Invite close collaborators across offices, including people outside the immediate team.

  2. 2 working days before

Check whether the invitation reached each time zone. If useful, send one gentle reminder yourself. Give people a full local working day to contribute, without asking them to attend a meeting.

  3. 1 working day before

Review messages, photos, and delivery details while signing is still open, so contributors have time to make corrections. Leave a working day between the signing deadline and the handoff where possible.

  4. On their last day

Share the finished card through the agreed channel. A short call is optional: a personal message with the card link lets the recipient read it when they have time.

Set two times

Make the contribution deadline unambiguous.

Write the date, time, and named time zone in the invitation: for example, “28 October, 15:00 Europe/London.” Ask teammates to check their local equivalent. Avoid “Friday afternoon” or “end of day” when the team spans countries.

  • Choose a signing cutoff before the handoff, leaving a working day for review where possible.
  • MessageFold shows timing in the time zone where the card was created. Check the displayed zone before saving.
  • For a call, prepare the finished link beforehand rather than relying on an email to arrive at the exact meeting time.

Adapt these templates

Send one invitation with a useful prompt.

Paste the signing link into an email or a Slack or Teams conversation the recipient cannot see. Replace every bracketed field below. Ask for a small detail: a helpful handoff, a shared ritual, or something they taught you.

For more writing help, share the farewell message examples instead of asking everyone to use the same wording.

Invitation template

We’re making a farewell card for [name]. Add a note or photo at [signing link] by [date, time, time zone]. What’s one thing they made easier or more memorable? A few sentences are plenty. Please keep the link away from [name] until the handoff.

One optional manual reminder

A quick reminder: the signing deadline for [name]’s card is [date, time, time zone]. If you’d like to add something, here’s the signing link: [link]. Thanks if you’ve already signed; no need to reply.

Before finishing

Review the card and where it will go.

Check the cover name, visible messages, and photos while signing is still open. Ask a contributor to correct an accidental disclosure before the cutoff. As organizer, you can hide an inappropriate message before finishing. Keep departure circumstances, private conversations, and confidential work out of the card.

  • Anyone with the signing or finished-card link can open it. These links can be forwarded; share only with the intended group.
  • Use photos people are comfortable sharing. Crop out customer details, documents, and private screens.
  • Check the recipient’s email spelling and whether they will still have access after leaving. Use a personal address only if they have chosen to share it, or agree another way to send the finished link.

Give them time to read

Choose an asynchronous handoff or a short call.

For an asynchronous goodbye, send the finished link with a personal note and let them read privately. During a call, offer to open the cover together, then give them the link to read every message afterward. Nobody needs to read their contribution aloud.

  • For scheduled email, add the recipient’s address and pay before the planned delivery. Allow a buffer around any live celebration.
  • To share it yourself, finish the card and copy the finished-card link. This is different from the signing link and sends no recipient email.
  • Creating and collecting are free. The organizer pays $4.99 once to email, share, or use Print / Save PDF for the finished card. See the farewell-card overview for the product details.
